1. Who we are
I Am Here To Help is the trading name of IAM HERE TO HELP LTD ("we", "us", "our"), a company registered in England and Wales (company number 17376776, registered office 16 Golden Lion Close, Hereford, HR4 9NB). We design, build and host websites for small businesses, and provide optional add-on services including SEO, ad management and missed call text-back. This policy explains what personal data we collect, why we collect it, and the choices you have.
If you have any questions about this policy or how we handle your data, contact us at D.lilley@iamheretohelp.net or 07502 933720.
2. Information we collect
We collect information in a few different ways, depending on how you interact with us:
- Enquiry & contact details — when you fill in our contact form or email us: your name, business name, email address, phone number and the contents of your message.
- Account & project information — if you become a client: billing details, the content you provide for your website (text, images, logos), and correspondence relating to your project.
- Website usage data — standard analytics such as pages visited, device and browser type, approximate location and referring website, collected via cookies or similar technologies.
- Missed call text-back data — if you switch on this add-on, we process the phone numbers of people who call your business and go unanswered, along with the text message conversation that follows, so we can log the enquiry as a lead for you.
- Payment information — processed securely by our payment provider. We do not store full card details on our own systems.
3. How we use your information
We use personal data to:
- Respond to enquiries and provide quotes
- Design, build, host and support your website
- Deliver optional add-ons you've switched on, such as SEO reporting, ad campaign management and missed call text-back
- Take payment for services and manage your account
- Send service-related updates (e.g. changes to your site, billing notices)
- Improve our website and services, and understand how visitors use our site
- Meet our legal and regulatory obligations
We only send marketing communications where you've opted in or where we have a legitimate interest to do so, and you can unsubscribe at any time.
4. Our legal basis for processing
Under UK GDPR, we rely on one or more of the following bases: performance of a contract with you (building and running your website or add-ons), your consent (e.g. optional marketing, missed call text-back on your account), our legitimate interests (e.g. keeping our services secure and improving them), and compliance with a legal obligation (e.g. tax and accounting records).
5. Missed call text-back
Where a client enables missed call text-back, we act as a data processor on the client's behalf for the phone numbers and messages of the people calling that business. If you've received an automated text after calling one of our clients, that business is the data controller for your information — you can ask them, or us on their behalf, to access or delete it. We retain this conversation data only as long as needed to deliver the service and support the client, and it is never used to market our own services to callers.
6. Cookies & analytics
Our website uses a small number of cookies and similar technologies to remember your preferences and understand how the site is used, so we can improve it. You can control or delete cookies through your browser settings at any time; blocking them may affect how parts of the site work.
7. Who we share your information with
We don't sell your personal data. We share it only with trusted third parties who help us run our business, including:
- Hosting and infrastructure providers who store your website and data
- Email and communication tools used to respond to enquiries (e.g. our contact form is handled by FormSubmit.co)
- Payment processors who handle billing
- Advertising platforms (Google, Meta) where you've asked us to manage ad campaigns on your behalf
- SMS and messaging providers who deliver missed call text-back
- Professional advisers (e.g. accountants) and authorities where required by law
Each provider is only given the data they need to perform their role, and is required to keep it secure.
8. How long we keep your data
We keep enquiry data for as long as reasonably needed to follow up, and client data for the duration of our relationship plus a period afterwards to meet legal, accounting and tax requirements (typically up to 6 years). Missed call text-back conversation data is retained only as long as needed to serve the client, after which it's deleted or anonymised.
9. Keeping your data secure
We use appropriate technical and organisational measures — including secure hosting, access controls and encrypted connections — to protect personal data against unauthorised access, loss or misuse. No method of transmission or storage is completely secure, but we work to keep risk as low as reasonably possible.
10. Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data, in certain circumstances
- Object to or restrict certain processing
- Request a portable copy of your data
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, email D.lilley@iamheretohelp.net. If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO).
11. Children's privacy
Our services are intended for business owners and are not directed at children. We don't knowingly collect personal data from children.
12. International transfers
Some of our service providers may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as standard contractual clauses, to keep your data protected to UK standards.
13. Changes to this policy
We may update this policy from time to time to reflect changes in our services or the law. The "last updated" date at the top shows when it was last revised, and significant changes will be communicated to active clients.
